Background
NeuroKaire is transforming psychiatry and neurology through precision medicine, helping guide antidepressant treatment based on individual brain biology. As the company expanded its customer acquisition efforts, it needed to build a high quality ads program, streamline operations for pre- and post-test sales, and enable data to flow freely to support both.
GMA Growth Engines partnered with NeuroKaire to build an integrated patient acquisition system connecting paid media, CRM, funnel activity, and downstream patient outcomes.
The Desired Business Outcome
NeuroKaire's advertising, ordering, CRM, and operational data were spread across multiple “systems” including spreadsheets. This made it difficult to orchestrate and understand how prospects moved from an initial interaction through registration, testing, and ultimately becoming patients.
The engagement focused on two connected goals:
Improve acquisition: Launch and optimize paid media campaigns around meaningful conversion events.
Level up operations: Build a more seamless operating system for managing patient and provider activity throughout the entire lifecycle from sales to service, replacing manual and inconsistent processes with more predictable, efficient workflows.
The goal was to move beyond leads and clicks so ad servers and operators understand which marketing activity was contributing to actual tests and patient outcomes.
The Approach
Building a Connected Patient Acquisition Engine
GMA built a system of integrated acquisition and operations designed to connect marketing performance with what happened after the lead through business outcomes aka patient test purchases.
On paid media, GMA developed research-driven messaging and creative informed by the competitive landscape and healthcare platform limitations, paired with precise audience targeting based on NeuroKaire’s ideal customer profile. Campaigns were optimized around high-value conversion events throughout the purchase journey.
On operations, GMA helped NeuroKaire move from manual processes toward a more structured and predictable operating system, with HubSpot connecting marketing, sales, and service across patient and provider activity. The homegrown application was integrated seamlessly. Employees were thrilled about how much easier it was to do their jobs and especially as it scaled up - leadership was thrilled too.
Key improvements included:
Paid media: ICP-based targeting, research-driven creative, campaign optimization, and conversion tracking
CRM & operations: Streamlined pipelines, associations, workflows, and operational tracking
Attribution & data: Connected marketing activity to downstream conversion and outcome data
The result was predictable new customer acquisition and streamlined operations, built on a closed-loop system connecting ads, CRM, and business outcomes - giving ad servers and NeuroKaire operators greater visibility into downstream performance and a more scalable foundation for marketing and operations.
Results
Within four months, the engagement produced:
6.8x Return on Ad Spend
67% reduction in paid-media CPA
25K+ historical CRM contacts connected to attribution
The result was a more connected acquisition system where paid media, CRM data, funnel activity, and patient outcomes could be evaluated together, not simply as a collection of leads - and an empowered team.

Frequently Asked Questions
-
A: We do both - improve what's already working, or rebuild what isn't, whichever the situation calls for. For NeuroKaire, that meant migrating them off spreadsheets and into HubSpot, improving their existing Typeform setup, and supporting their transition from Typeform to a homegrown application - connecting paid media, CRM, attribution, and operational workflows into one consistent system.
-
A: We've built and run paid media in healthcare, alcohol, and financial services - categories where platform restrictions and compliance shape what's possible. That experience is a core strength: we know how to build effective campaigns within those constraints rather than around them.
-
A: We link paid media, CRM, attribution, and downstream conversion data so performance is measured by what happens after the click - not lead volume alone. For NeuroKaire, this meant tracing the full path from ad to registration to completed test, giving leadership visibility into which marketing activity actually drove patients, not just leads.
-
A: It depends on how much foundation needs to be built first. For NeuroKaire, we had to rebuild the website and stand up HubSpot before paid media could even launch - that groundwork takes time. If the foundation is already in place and it's just the ads program, results can come quickly, often in 2–3 months. If we're building the infrastructure from scratch, it takes longer. Most engagements fall somewhere in between - the faster path is having a clear picture of readiness going in.
