Senior Living CRM in 2026: HIPAA, Resident Data & Move-Ins
Oct 12 • Written By Jacob Kent and Jason Katz
Executive Summary
A senior living CRM is senior living software that manages prospective residents and their families from first inquiry through tour, deposit and move-in, often connected to the community's care, billing and occupancy systems.
Which HIPAA-compliant CRM turns Lead Gen + Lead Nurture + Lead Analytics into the most efficient Senior Living Community Move-Ins?
Lead Gen - General-purpose and specialist marketing platforms connect forms, calls, campaigns, and lead routing. Referral feeds deliver prospective-resident inquiries; pooled industry datasets provide benchmarks.
Lead Nurture - Senior living platforms add industry context that general-purpose CRMs typically need configuration to recreate: care-specific workflows, scoring, next-best actions, and benchmarks. Care needs covered during nurture (e.g. Memory Care, Parkinson’s, medication) can also introduce health information or PHI where HIPAA applies.
Lead Analytics - Senior living suites sit closest to community resident, census, and move-in truth. General-purpose CRMs are often stronger at attribution and activation, but downstream events must be mapped according to HIPAA/PHI-compliant rules so health or care details do not flow into ad platforms.
The best setup balances community resident data, HIPAA/PHI controls, senior living context, and ability to activate business & resident outcomes through secure integration layers.
The biggest value comes from connecting occupancy needs, demand, sales progression, move-in, and revenue while keeping PHI out of advertising destinations. Connected, every move-in sharpens where marketing invests and how sales follows up. That's what's known as a closed loop.
How We Evaluate Senior Living CRM Software
Most CRM comparisons focus on features. We evaluate how platforms help turn marketing and sales activity into move-ins, occupancy, and revenue.
Lead Gen + Lead Nurture + Lead Analytics = Move-Ins
Lead Gen - Can the CRM ingest demand data, route it to the right team or community, and preserve enough context to understand source and demand need?
Forms, calls, click IDs, UTMs, aggregator and referral feeds
Lead routing and distribution by community, care type, territory, or availability
Ability to convert intent into revealed interest through forms and phone calls
Website, marketing, and CRM integrations
Audience segmentation and management where housing, health, and privacy rules allow
Occupancy and census data to direct demand toward open inventory
Lead Nurture - Can the system use senior living context to qualify prospects, guide follow-up, and move families toward tours and move-ins?
Speed-to-lead, email, SMS, calling, and workflows
Lead enrichment, scoring, and next-best-action guidance
Industry benchmarks and senior living-specific sales context
Tour management and long-cycle follow-up
Appropriate handling of health information or PHI once care needs enter the conversation
Lead Analytics - Can the system connect marketing investment to business outcomes and safely turn those outcomes into useful feedback?
Inquiry, qualified lead, tour, deposit, and move-in attribution
Community resident, census, and revenue data
Approved conversion-event mapping that excludes clinical or care detail
Feedback to marketing platforms and budgeting decisions
We evaluated two categories:
Senior Living & Industry-Specific CRMs, built around community resident, sales, occupancy, and move-in workflows
General-Purpose CRMs & Marketing Platforms, which typically need more configuration and integrations to reach the same senior living community resident context.
A Place for Mom (APFM) serves as a reference point for what a true closed loop looks like, not as a CRM being compared.

CRM Profiles
Senior Living & Industry-Specific CRMs & Platforms
These platforms support senior living sales, marketing, or resident operations. Capabilities described here may span several products within a vendor’s ecosystem.
ActiveDEMAND - "Marketing and engagement platform for senior living." The most marketing-native senior living tool, and the only one that sends tour and move-in conversions to Google natively. Powered by ActiveDEMAND Intelligence (ADI). Combines multi-community marketing, automated nurture, call tracking, and CRM-connected attribution. Its Community Engage tools support sales counselors, while its Google Ads integration documents direct offline conversion uploads. Resident outcomes are supplied through connected systems.
Aline - "From system of record to system of recommendation." AI guidance on top of the industry's largest pooled sales dataset. Aline Intelligence turns the CRM "from a system of record into a system of recommendation." Built through acquisitions and integrated functionality, Aline connects sales, marketing, care, and billing. Market Insights benchmarks performance against aggregated data from thousands of communities; scoring and next-step guidance support day-to-day sales work.
ECP - One resident record across CRM, care, eMAR and billing. The most open developer platform in the category. It raised a "several hundred million" growth investment to fund AI development, targeting acuity tracking, fall risk and medication errors, not sales. Connects CRM, move-ins, electronic health records, medication administration, and billing. Its public developer resources document APIs and webhooks for lead, resident, and census updates, giving approved integrations access to operational milestones.
Eldermark - An operations suite with built-in occupancy forecasting, plus e-Media, its own managed marketing service. ElderSmarts analytics uses AI to predict fall risk, move-out likelihood and care-level changes. Move-out prediction is the one CRM-relevant use. Connects inquiries, marketing activity, occupancy, and resident operations. Automated follow-up and source-to-move-in reporting support sales teams, while its partner ecosystem connects the platform with other business tools.
PCC (PointClickCare) - A clinical-first platform. Its CRM extends the resident record into admissions, referrals, inquiry, and relationship management. AI-powered workflows inside the EHR. Admission workflows and referral-source reporting connect prospect activity with the operational resident record.
WelcomeHome - Purpose-built for senior living sales. It explicitly positions itself as not a generic CRM adapted to the industry. Wins on usability and adoption. Focuses on senior living prospect and referral management, communications, tours, and follow-up. Lead scoring, workflow automation, and integrations with resident and billing systems help sales teams connect inquiries with outcomes.
Yardi - One connected suite, with Voyager Senior Housing as the base every client starts with and care, CRM and analytics added on top. Markets an AI platform for senior living called Virtuoso. Connects lead management, communications, electronic leasing, and move-ins within Yardi Senior Living Suite. Senior IQ adds operational reporting and industry benchmarks, supporting visibility across sales and occupancy.
General-Purpose CRMs & Marketing Platforms
These products offer configurable acquisition, automation, and analytics. Marketing hubs, customer-data products, and paid add-ons are included only where identified; base CRM subscriptions do not necessarily include every capability.
ActiveCampaign - Automation-first lifecycle email and SMS. AI Automation. Combines email/SMS automation, segmentation, lead scoring, and personalized follow-up. Its lifecycle workflows help teams sustain engagement over longer decisions, with sales capabilities available through its broader offering.
Dynamics 365 - Microsoft ecosystem and data platform. Copilot AI. Pairs Sales with Customer Insights, Dataverse, and Power Platform. Unified profiles, segmentation, and trigger-based journeys connect customer data with configurable marketing and sales workflows.
GoHighLevel - An all-in-one, agency-built platform. Conversation AI and Voice AI. Combines CRM, forms, funnels, messaging, and automation. Conversation AI chatbots and Voice AI support inquiry handling and appointment workflows, alongside platform-built advertising integrations.
HubSpot - All-in-one marketing and sales platform with the strongest native attribution. Connects lead capture, marketing automation, scoring, attribution, and advertising. Breeze AI supports content and customer engagement; qualifying hubs and editions add revenue attribution and conversion-event syncing.
Salesforce - Enterprise configurability for complex, multi-system setups. Salesforce Agentforce AI. Connects configurable sales records with marketing, analytics, and AI capabilities. Account Engagement supports campaign influence, while Data 360’s advertising products add conversion activation across supported ad platforms.
Zoho - The lowest-cost BAA among general CRMs. Zia AI. Combines lead management, web forms, scoring, workflows, and reporting. Its Google Ads integration connects campaign information with CRM sales stages and supports offline conversion exports.

The CRM Isn't the Whole Stack
A CRM may need support turning anonymous visits into inquiries, helping families assess readiness, coordinating follow-up, or exchanging approved data. These are different jobs; not every adjacent tool is an attribution or offline-conversion platform.
Further - chat, calls, SMS, nurture, call tracking, and offline marketing signals
VALIDIFY - financial and fit scoring
Roobrik - decision and affordability assessments
Keragon - healthcare-focused automation, integration, and data movement
APFM and other aggregators - lead feeds and downstream move-in information

Senior Living CRM and Marketing Attribution
General-Purpose CRMs: Strong Attribution, Limited Move-In Truth
HubSpot and Salesforce support first-touch, last-touch, and multi-touch attribution approaches through qualifying products. Contacts and their associated companies/accounts and opportunities can be linked for reporting; available models and reporting levels differ by product and configuration.
For senior living, connect marketing records with verified tours, deposits, move-ins, and revenue from clinical and operating systems through integration. Keep care discussions and other PHI in authorized CRM or clinical workflows rather than passing them into advertising audiences or events.
Senior Living Suites: Strong Move-In Truth, Limited Activation
Operating suites can connect admissions, resident records, and occupancy with the sales pipeline. Preserve the original source across each milestone so cost per tour, cost per move-in, and resulting revenue can be evaluated together, not as isolated dashboard totals.
Closing the Loop
Connect marketing records to milestones throughout the resident journey, rather than measuring only the final move-in:
Qualified Lead → Tour → Deposit → Move-In
Before eligible conversion data leaves the CRM, use an appropriately configured HIPAA-focused tracking/privacy layer or another approved architecture. Ours Privacy, Freshpaint, and Curve offer combinations of event allowlisting, destination controls, PHI filtering or redaction, and server-side delivery. Exact configuration and what may legally be shared still require operator review.
The final move-in remains the business outcome, while earlier permitted milestones provide faster feedback. Google’s import window depends on the method: standard offline imports generally allow 90 days after the associated last click, while enhanced conversions for leads use a 63-day window.
APFM as a closed-loop benchmark - A Place for Mom collects proprietary data across thousands of communities and confirms referred move-ins because payment depends on placement. Its model illustrates what a mature closed loop can do: connect demand, community fit, referral, actual move-in, and ad spend data to improve matching and prioritization over time.
Combine Marketing Reach with Resident Truth
Different strengths work together through a controlled data connection
HIPAA Requirements for Senior Living CRM
HIPAA should be considered before features. Sensitive information can enter sales workflows well before move-in, through calls, emails, assessments, transcripts, and AI summaries.
Does HIPAA Apply to Your Communities?
HIPAA covers providers that bill insurers electronically, such as skilled nursing and communities billing Medicare or Medicaid. Many private-pay independent and assisted living communities may fall outside it, so confirm your status with counsel. Outside HIPAA, care details aren't technically PHI, but they're still regulated. State laws such as Washington's My Health My Data Act protect consumer health information, and the FTC has penalized companies for sharing health data with ad platforms. Treat care details as sensitive either way.
HIPAA Readiness Across CRM Categories
Senior living platforms - Suites with clinical and EHR functionality (Aline, ECP, PointClickCare, Yardi) rate strongest. Where public documentation is thinner, ratings drop to partial or not verified, so request BAA terms directly during evaluation.
General-purpose platforms - Dynamics 365 and Salesforce offer BAAs without tier gating. Elsewhere, HIPAA depends on an Enterprise tier (HubSpot, ActiveCampaign), a paid add-on (GoHighLevel, $297/month), or a qualifying edition (Zoho), so the real cost of compliance can exceed the base CRM price.
Covered Vendor Does NOT Make Ad Platform Covered
A CRM or middleware provider may operate under a BAA. That does not make Google Ads or Meta covered destinations. What leaves the CRM matters as much as where data is stored.
Conversion payloads should communicate business outcomes without exposing diagnoses, care level, clinical notes, or event names that reveal health status. In other words: ask not only whether the CRM can hold PHI, but what data is allowed to leave it.
What is being sent out of the platform?
Advertising Rules for Senior Living CRM Data
Senior living sits at the intersection of housing, health, privacy, and advertising rules.
Meta - Senior living advertisers must account for Housing Special Ad Category restrictions. Some domains may also face Health & Wellness restrictions that limit conversion events. Operators should verify their own classification rather than assume it applies universally.
Google - Sensitive-audience restrictions still apply when offline conversion measurement is available. Eligible events must meet the applicable import window and data-use requirements.
Fair Housing and Conversion Signals - Conversion values influence ad delivery. Using health, wealth, or similar sensitive characteristics as bidding signals can create additional fair-housing and compliance concerns.
Where Compliance and Ad Platforms Intersect
Apply these controls before enabling advertising feedback:
Send business outcomes, not clinical detail or care descriptions
Use generic event names and values that do not reveal health or wealth
Allowlist only fields required for the approved conversion
Treat ad destinations as uncovered even when the source system has a BAA
Have legal/compliance teams approve payload design and naming
BAA-covered intermediaries can help filter sensitive data before sending conversion events server-side to advertising platforms.
Choosing the Right Senior Living CRM
If marketing capability were the only factor, HubSpot would be difficult to beat. Senior living changes the equation because CRM records can contain health information before move-in, while resident, census, and revenue truth often lives in vertical operating systems. The best setup keeps sensitive data in an appropriate system, controls what can leave it, and activates only approved business outcomes while preserving attribution. That balance matters more than the longest feature list.
Already Using a Senior Living Suite? - Keep it if it already holds resident and move-in truth. Improving capture, nurture, attribution, PHI controls, and conversion signaling may create more value than replacement.
Choosing New Software? - Aline is the strongest default to evaluate among platforms reviewed because it combines senior living sales, resident data, benchmarks, integrations, and a stated HIPAA posture in one broader ecosystem.
Suite Is Staying, but Sales Needs Improvement? - A standalone senior living sales CRM such as Aline CRM or WelcomeHome can sit alongside the operating system and connect sales activity back to resident outcomes.

Frequently Asked Questions
-
A: There's no single best option; it depends on how HIPAA support is obtained. Senior living suites with clinical and EHR functionality, such as Aline, ECP, PointClickCare and Yardi, rate strongest. Among general-purpose CRMs, Dynamics 365 and Salesforce offer BAAs without tier gating, while HubSpot, GoHighLevel, ActiveCampaign and Zoho require an upgraded plan, add-on or specific configuration.
-
A: Combine paid search, social ads run under Meta's housing rules, local SEO, and referral sources such as aggregators and professional referrers. Then respond quickly and follow up consistently, since families take months to decide. The communities that improve fastest feed tours and move-ins back to their ad platforms, so budget shifts toward the channels that actually produce residents.
-
A: It depends on the operator. HIPAA covers providers that bill insurers electronically, which includes most skilled nursing and communities billing Medicare or Medicaid. Many private-pay assisted living communities may fall outside it, but state health privacy laws and FTC enforcement can still apply, so treat care details as sensitive either way.
-
A: Senior living CRMs sit closer to resident, move-in, census, and operational data. General-purpose CRMs usually offer stronger marketing and automation but need integrations to reach the same downstream outcomes.
-
A: Aline is the stronger default when resident data, scoring, and broader operational functionality matter. WelcomeHome fits better when the operating system is staying and sales workflow is the main priority.
-
A: HubSpot can support HIPAA-regulated senior living use cases on qualifying Enterprise configurations with Sensitive Data enabled. Operators still need appropriate agreements, configuration, and controls over what data leaves HubSpot.
-
A: Salesforce can support HIPAA-regulated use cases once a Business Associate Agreement (BAA) is in place, but only for the services that agreement covers. Shield adds encryption and monitoring at extra cost; it's optional and doesn't replace the BAA. For senior living operators, the BAA doesn't extend to Google or Meta, so care details still need to stay out of anything sent to ad platforms.
-
A: There is no universal best assisted living CRM. Aline is a strong default when choosing a new system, while operators already on established senior living CRM suites may gain more from improving the surrounding stack.
-
A: Yes, but long sales cycles make move-ins alone a slow signal relative to Google Ads’ 90-day maximum attribution window. Using Qualified Lead → Tour → Deposit → Move-In gives Google earlier high-value events while keeping move-in as the final outcome.
-
A: Yes. Housing restrictions apply, and some accounts may also face Health & Wellness event restrictions. Operators should verify their own account and domain classification.
-
A: Preserve source and click data on every prospect record, including phone calls, then connect it to qualified lead, tour, deposit, and move-in stages. Call tracking should pass the original call source into the CRM so phone inquiries stay attributed through each stage. Strong systems also feed appropriate downstream outcomes back into marketing platforms.
-
A: Yes, but usually by diversifying rather than cutting it off abruptly. Closed-loop measurement lets operators compare cost per owned move-in against referral costs and shift spend gradually toward more efficient channels.
